SERVICES:
What is the cost to do a reunion?
• The price is determined by class-size, reunion location, menu selection and our fees.
What determines the ticket price?
•
The ticket price includes the cost to do the reunion, postage, classmates
search, entertainment, decorations, photo name badges and staffing.
How will individuals pay for their tickets?
• Each person must complete a Reunion Registration Form with a required deposit.
• Payments may be made online via your personalized website (we accept all major credit cards).
• Payments may also be mailed (Check or Money Order) with your Registration Form to VEP Associates.
Will you mail tickets to the guests?
• NO, for the convenience of those attending the
reunion, we will hold all tickets at the door. Your guests will not have to
worry about losing or misplacing them and it helps to keep costs down.
Is
there a deadline to purchase tickets?
• YES, there will be several deadline dates. Those dates will be highligted on the Registration Form..
How will I know that you received my payment?
• You will receive a confirmation receipt for your payment
in one of two ways. Online registration will provide an immediate receipt
to your email. Mailed registrations will receive confirmation in the mail or email.
• If your payment is received after the registration deadline, your confirmation receipt will be held at the door with your ticket.
Can we purchase tickets at the door?
• NO, tickets must be purchased in advance to confirm seating
arrangements, food service, photo name badges, memory books and many
other services involved in planning your reunion.
What will each attendee receive at the reunion?
• A photo name badge will be provided for each registered attendee.
• Program book and giveaways provided by the reunion committee.
• Information that the reunion committee decides to provide for the event.
• Option to stay at the host hotel at a discounted rate, car rental and other travel
arrangements, if applicable..
What will your staff do at the reunion?
• Our
professional staff will arrive early to manage set-up, handle onsite registration, greet the guests,
and to make sure that everything runs smoothly for the
evening.
ATTENDEE SEARCH:
Who will contact the Attendees?
• In order to contact the reunion attendees, the reunion committee will need to provide us
with a yearbook; attendee's contact information and any additional information that could be
helpful.
Will
we receive a copy of the attendee's list?
• YES, when all the data is finalizes we will provide you the detailed attendee database.
BANQUET
FACILITES:
Who determines the hotel and menu selections?
• Because of our ongoing relationships with hotels and other facilities,
we would suggest
a site location for the reunion. This will also allow us to offer you the same savings we receive.
• The menu recommendation will be
a Buffet Meal with a cash bar.
REUNION
COMMITTEE:
What is the responsibility of the reunion committee?
• The reunion committee will select the reunion date, supply the classmate database. and select the venue,
• The reunion committee will help plan the ceremony for the evening by
providing a list of speakers and other ideas.
• The reunion committee will make contact with the attendees.
• The reunion committee will provide any gift items they wish to
have at the reunion.
PRINTING AND POSTAGE:
What postage and printing costs will you
cover?
• We will cover postage for two mailings, consisting
of the reunion announcement and confirmation receipts.
PROMOTION / PUBLICITY:
Who does the promotions and advertising?
• We will contact your high school, local media and other
related web sites to inform the classmates about the reunion plans.
We will also provide a personalized website complete with reunion details
and easy online registration.
DECORATIONS:
What decorations will you use?
• We will make sure that the facility is decorated with balloons and table linen in your school colors. If you have access to your school banner, we will use that
as well.
ENTERTAINMENT:
Will you provide the entertainment?
• YES, we will provide a local disc jockey that is included in your ticket cost. If any other entertainment is requested an additional cost is required.
PHOTOGRAPHY:
Will someone be there to take pictures?
• YES, we will provide a professional photographer to take headshots upon arrival. Individual photos may be taken as well at the individual's expense.
TRAVEL ARRANGEMENTS:
How can we reserve a hotel room?
• Anyone wishing to stay at the
hotel during the weekend of the reunion may do so at a reduced cost. This rate will be available two days before the reunion and extended to two days after the reunion.
Rreservations can be made online via your personalized website or contact the hotel directly and mention your event by name.
• For those traveling and requiring assistance with airfare, auto rental, etc. arrangements can be made by contacting us..

.Will you keep us updated on the progress
of the reunion?
• YES, we will provide the reunion committee with a progress report.
What’s
the dress attire for the reunion?
• Since this is a special event, it depends on the time of the event. Example, if the event is in the evening, we would suggest your guests to wear
“after five” evening attire, men suit with tie or semi formal.
Are there any ideas on raising extra money
for the reunion?
• YES, your reunion committee can offer a Souvenir Journal which will earn extra funds for your reunion. This journal may include selling ads to family, friends and local businesses.. The reunion committee
can also sell Tee Shirts, for more details , please give us a
call.
Is
there a refund policy?
• YES, a $50.00 processing fee per person will be assessed for
all cancellations.
• Full refunds (less the processing fee) will be granted for cancellations made no more than four (4) weeks prior to the reunion,
and will be processed within ten to fourteen (10-14) business days after
the reunion.
• No refunds will be granted for cancellations made within four (4) weeks of the reunion, or for not attending the reunion.
The registration fee does not entitle the person reunion giveaways.
• No refunds will be granted for photo orders, tee shirt orders,
extra attendee directories, or attendee advertising.
• To request a refund, please send facsimile to (215) 224-1501,
or e-mail to vepassoiciates@aol.com. Please include
the classmate's'’ name, school and class year in the request.
What happens if the reunion is canceled?
• If the reunion committee cancels the reunion at any time 100% of all
monies paid by “A Reunion by VEP Associates” is the full
responsibility of the reunion committee and must be
paid in full at the time of cancellation.
• If
the Reunion Committee decides to reschedule the reunion to a new date, VEP will apply fees received from the classmates to the next scheduled reunion, less any additional cost acquired.
• A Reunion by VEP Associates” will maintain the
right to cancel the reunion event (3) three months prior to the reunion for
lack of response or participation by the attendees. At which time any money
paid by “A Reunion by VEP Associates” will be due and payable upon receipt.
